Getting started with Order Checker

Last updated:

Order Checker runs your store’s rules against every order and lists only the ones that need a look, with the reason attached. This guide walks you through the first-time setup.

1. Install the app

Install from the Shopify App Store. The app opens inside the Shopify admin.

Right after installation, the app imports the orders that are still unfulfilled (from the last 60 days) and checks them. This can take a little while.

2. General settings

In Settings > General, add the payment methods you treat as prepaid, such as bank transfer. The check for orders stuck waiting for payment uses this setting.

3. Choose your checks

In Settings > Rules, turn on the checks you want. For each rule you can set:

  • What happens when it matches: “Hold fulfillment” places a fulfillment hold on the matching order. “Review only” lists the order without stopping fulfillment.
  • Thresholds: rule-specific conditions, such as how many days an order may wait for payment. Some rules have no thresholds.

Rules whose prerequisites are not set up yet are shown as unavailable, with a link to the setting they need.

How many rules you can turn on at once depends on your plan. See pricing.

4. Assign the delivery-date field

Every delivery-scheduling app stores the requested delivery date in a different place, under a different field name. Order Checker does not hard-code field names per app.

In Settings > Field mapping, click “Scan orders for candidates” to find candidate fields in your real orders. Pick the field that holds the requested delivery date and assign it. If several sources are assigned to the same purpose, they are tried from the top, and the first one with a value is used.

Orders whose delivery date cannot be read are flagged as “delivery date could not be read”, so they are not missed.

5. Review flagged orders

The Orders to review list shows the orders flagged for review, longest-waiting first. The list does not show customers’ names, addresses or phone numbers.

Open an order to act on each detected reason:

  • Mark as reviewed: record that the issue is fine or has been handled.
  • No action needed: record that the finding does not need handling.

From the order detail you can also fix the shipping address or mark the order as paid.

6. Releasing fulfillment holds

Holds are placed per reason category (payment, address, delivery date and so on).

  • When every reason in a category has been reviewed, marked “No action needed”, or cleared automatically because the order changed, that category’s hold is released automatically.
  • Even while reasons are still open, a staff member can use “Release all holds” to release every hold this app placed.

The final decision on whether to ship is always made by your staff.

7. Assign orders to staff (Standard plan and above)

Add assignees in Settings > Assignees, then assign them to orders. To see just your own orders in the “Assigned to me” tab, click “Link to me” on your assignee on the same screen, which links it to the staff account you are signed in with.

8. Review history

History records who reviewed which order, when, and what they decided. Filter by period, assignee or action type. CSV export is available on the Standard plan and above.

When you uninstall

24 hours after you uninstall the app (in case you reinstall), the store’s data saved in the app’s database is deleted. See the app’s privacy policy, linked at the end of this page, for details.

Fulfillment holds stay in place after you uninstall. Releasing them automatically would put orders nobody has reviewed yet back into a shippable state.

If you would rather not leave holds behind, release them from the app’s list before you uninstall. You can also release a hold afterwards from the Shopify admin: open the order and release the hold there. The reason for the hold is shown in the admin as well.
